1) Introduction

These Terms (“Agreement”) govern vehicle rentals from [Company Name] (“we/us”). By placing a booking, the customer (“Renter/you”) accepts this Agreement.

2) Eligibility & Documents

  • Valid driver’s license held for at least [X] months; passport/ID; credit/debit card in the Renter’s name.
  • Minimum age: [X]. Young driver surcharges may apply below [Y] years.

3) Booking, Pricing & Payment

  • Prices include VAT unless otherwise stated.
  • A booking is confirmed when we issue written confirmation (email/order page).
  • We may pre-authorize your card for the Security Deposit (Section 4) any time from booking until pick-up.

4) Security Deposit (Basic Protection)

  • €300 safety deposit is required at pick-up for all rentals.
  • The deposit is a hold/pre-authorization (not a charge) and is returned after drop-off following a quick inspection, less any amounts due (e.g., damage, fuel, cleaning, late return, traffic fines).
  • Banks typically release card holds within 3–10 business days; timing is outside our control.

5) Vehicle Condition, Fuel & Mileage

  • The vehicle is delivered in clean condition with [fuel policy, e.g., “same-to-same”].
  • Return fuel level must match pick-up; shortfall is charged at the local rate plus a refueling fee.
  • Standard mileage: 300 each rented day. Excess mileage is charged at 0.07€/km.

6) Use of Vehicle (Prohibited Uses)

No off-road use, racing, towing, or driving under the influence of alcohol/drugs. No smoking. Use only on paved public roads and ferries/overseas travel only with prior written consent.

7) Traffic Fines & Toll Violations

All fines, penalties, tolls and related administrative fees during the rental are the Renter’s responsibility. We may charge the payment method on file or invoice the Renter.

8) Coverage & Waivers (Your Liability)

  • Basic Protection (included): Renter is fully responsible for damage/theft of the rental vehicle, subject to applicable law and this Agreement.
  • Optional Waiver Packages (contractual liability waivers, not insurance):
If purchased, these limit or eliminate the Renter’s financial responsibility up to the stated excess/terms shown at booking (e.g., CDW/SCDW/FDW).
  • Waivers apply only if the Agreement and road laws are followed, and a police report is obtained where required.

Important: Without a waiver, the Renter bears full responsibility for loss/damage/theft of the rental vehicle (subject to Section 12).

9) Accidents, Damage & Theft Procedure

  • In any incident, notify us immediately and obtain a police report.
  • Do not admit liability or negotiate outside official procedures.
  • We assess damage on return; amounts due are charged against the deposit or invoiced.

10) Pick-up & Return

  • Pick-up is available during working hours 09:00–21:00 (early/late by arrangement).
  • Late return beyond [grace period, e.g., 59 minutes] may incur a daily rate charge.
  • Early returns are allowed but unused days are non-refundable once the rental has started.

11) Cleaning & Non-standard Wear

Excessive dirt, pet hair, upholstery stains, or smoke odor may incur a special cleaning fee of €[X]–€[Y].

12) Mechanical Issues & Our Responsibility

We provide a roadworthy vehicle maintained to manufacturer standards. Our maximum responsibility under this Agreement will not exceed the rental charges paid for the affected period, except where prohibited by law.

13) Cancellation & Refund Policy

  • Full refund if you cancel within 12 hours of payment.
  • Full refund if you cancel 15 days or more before the scheduled rental start.
  • Otherwise: a 25% cancellation fee of the total rental amount applies.
  • “Pay on pick-up” bookings: the 25% cancellation fee still applies. By booking and cancling, you authorize us to issue a lawful invoice and collect the fee using your Α.Φ.Μ. (Greek tax ID) and the payment method on file. If payment fails, we may issue an invoice to your Α.Φ.Μ. and pursue collection under applicable Greek law.
  • Refunds are processed to the original payment method. Processing times depend on your bank.

(Tip for your UI: show a countdown or date examples, e.g., “Cancel by 12:00 on 10 May → full refund.”)

14) No-Show

If you fail to appear for pick-up within 12 hours of the scheduled time without notice, we may treat it as a no-show; the cancellation fee applies and the vehicle may be reassigned. There maybe exeption on extreme and unexpected incident so that a different day(s) aggrement happens.

15) Modifications

Changes (dates/vehicle class/extras) are subject to availability and any fare differences at the time of change.

16) Additional Drivers

Must meet the same requirements as the Renter and be named on the rental agreement; otherwise waiver coverage may not apply.
